DALKEITH TRANSPORT MODERNISE OPERATIONS & BEAT INFLATION WITH MANDATA’S MANPACK3 E-INVOICING & POD SOFTWARE
Scottish haulier Dalkeith Transport and Storage ltd have modernised their finance administration processes with the installation of Mandata’s Manpack3 E-Invoicing and POD software to beat inflation and block revenue leakage, now being able to email customer invoices and statements instantly.
With a 12% increase in first class postage costs in early 2011, three times greater than the level of inflation, the ability to receive rapid Proof of Delivery’s from drivers and send e-invoices to customers has speeded up the reconciliation process on customer accounts, whilst also significantly reducing the amount of revenue lost on postage and stationary.
Astrid McKirdy, Financial Controller at Dalkeith comments, “Since having Manpack3 POD and E-Invoicing in operation, we have saved £5000 to £6000 on our postage and stationary costs, meaning the software has paid for itself at least two times over within the first year.
Astrid continues, “One of the main benefits of e-invoicing is the traceability of invoices. There are now no excuses for invoices not to be paid as we are now able to confirm the exact date and time invoices were sent and received, eliminating any loopholes and delays. We have found customer queries on payments are coming back almost instantly via email, meaning we can reconcile queries very quickly.
“Not only are we now making impressive savings, but we now also have a seamless flow of information across Manpack3 and Sage200 and have been able to reallocate time previously lost on administration to focus on other credit control procedures.
Ahead of making the switch over to email invoicing, Dalkeith contacted all customers to notify of changes in procedures and received a positive response from all, with less than 10% of customers preferring to receive hard copies of invoices.
